The purpose of this 3-day meeting is:

 - To allow all project members and the AIDCO support Team to meet with each other.
 - To allow all project members to meet with each other.
 - To present and exchange project information so all Partners are current of activities either in their field or in their geographic area.
 - To promote communications and information links between Partners on a Thematic and/or a Geographic basis.
 - To allow all Partners to meet with AIDCO support staff individually during the duration of the Meetings for Project Follow-up sessions.
 - To allow AIDCO to present to all Partners simultaneously support sessions on Project issues such as:
         - Reporting
         - Water Facilitators in MEDA Country Institutions
         - SEMIDE/EMWIS information system of the MEDA Programme
         - Contracts and Financial Matters

Day 1:
  • Each Partner will present their project in plenary to other project Partners. Please plan for ½ hour presentation maximum. PowerPoint projector and overhead transparency projector will be provided.
  • We will present during the day the 9 Programmes with a first question period of 5 minutes after each presentation and longer discussion period at the end of the day to allow a more detailed and informed exchange between everybody.
  • A schedule for Individual Project Follow-up Meetings will be established. These meetings will begin in parallel with inter-Project Workshops to begin on the afternoon of Day 2 and will continue throughout the morning of Day 3.


Day 2:

  • A Plenary session will take place to discuss Reporting Formats and present a concept of National Water Facilitators (WFs) for each Partner Country. The WFs are eventually to be selected and seconded from local Government Institution offices to provide a liaison between project Partners, National Institutions and the EU Delegations. In this liaison one of their mandates is to support Project Partners in the field.
  • The SEMIDE/EMWIS information system and website facility will be presented, including their relationship to the MEDA Water Programme and Project Partners.
  • Regional Workshops between Projects will begin in the afternoon. The objective of these meetings is to continue on from the Project Presentations of Day 1 towards establishing links, lines of communication and exchange between projects that are either working in the same geographic area or following similar themes. Based on the presentations of the day before, Project Representatives can express their interest on who they would like to meet with and in which context. The meeting venue can accommodate 2 to 3 groups. The plan of this session is open to development by all participants at the onset but we suggest a series of 2 meetings: one with a geographical focus and one with a thematic focus over the duration of the afternoon. We will launch the beginning of these discussions but once they begin we will turn them over to each group for their own facilitation while we begin a different series of parallel meetings (see below).
  • Individual Project follow-up meetings will commence this afternoon parallel to the Project Workshop sessions. During the afternoon we will meet with individual Project Partners who request an interview and to discuss items that are not covered in plenary (i.e. reporting, contracts or finance). In plenary you will have 2 half-days to discuss these points so if you request a meeting with us please try to prepare a clear agenda outside of the plenary topics. With the Plenary sessions on Reporting, Contracts and Finances already being presented over two ½ day sessions we provisionally allow for ½ hour for each Project Follow-up Meeting to discuss any other details. We will be available for additional or longer consultations at the end of Days 2 and 3 as well as the Friday morning, but we do not believe this will be necessary.
  • From the Regional Project Workshops we will establish what possible links or lines of communications have been discussed between Projects during the Workshops and summarize them into a Strategy Document that can be drafted and circulated later to all Partners.


    Day 3:
     
  • Continue and finish the Project Follow-up Meetings during the morning at AIDCO offices with remaining Project Partners according to the schedule established on Day 1. This morning will be an open period for those not involved in meetings. A meeting room will be available in AIDCO offices (for 25 persons) for those who wish to continue inter-Project meetings during this morning period.
  • Plenary session to discuss Contracts and financial matters will take up the afternoon. This will be the last major activity of the meetings unless any further meetings are specifically requested by Project Partners.
